Assess the impact of new data initiatives before it is too late

No doubt your organization is increasingly recognizing the immense value that lies within their data. But is it equally aware that the true potential of its data can only be unlocked if it is carefully managed and leveraged from the outset?

One of our clients, a leading financial organization, came to that conclusion. They observed that, with their then-current way of working, the various impacts arising from developing new data deliverables were sometimes either overlooked or addressed too late. Therefore, they wanted to embrace a Data-by-Design approach in which a thorough data impact analysis is conducted during the design phase of new initiatives. In doing so, they wanted to ensure compliance with various regulations such as GDPR and reduce risks, such as security incidents. They reached out to Datashift to help them define the objectives of a Data-by-Design approach and to support its implementation and roll-out.

How we solved it

A journey with end-users and stakeholders toward rolling out a Data-by-Design approach

Together with the appropriate stakeholders, we identified the gaps within the then-current situation. That input enabled us to list the key objectives of the Data-by-Design approach and specify its business requirements. By thoroughly clarifying various aspects in advance, we were able to select the tool that best meets the specific needs of our client’s project: Collibra. Using that Data Governance Tool, we could immediately connect the Data-by-Design principles to our client’s existing Data Governance structure, ensuring effective data management and use within their organization.

To ensure that end-users (by their data role) can adequately identify the various impacts of new data deliverables, we helped develop a workflow to guide them through the steps of the data impact analysis documentation process. In addition, we also made it possible for end-users to update that information along the way to track which actions had been taken to mitigate those impacts.

During this process, we worked closely with both the end-users and the stakeholders as we considered their opinions crucial to delivering a successful project. So, to give just one example, we also helped set up a dynamic Tableau Dashboard to give stakeholders a clear view of the status of each Data-by-Design track.

The roll-out of any Data-by-Design project should not be overlooked, as it is vital in ensuring a successful implementation. Moreover, it’s quite a challenge because implementing a Data-by-Design approach requires a shift in traditional working methods. We have overcome this challenge by supporting the stakeholders (acting as ambassadors) to showcase the Data-by-Design set-up. Additionally, we built a detailed reference guide explaining the entire approach. In this way, clear and consistent information was made available for individuals to refer to, preventing misinterpretation and making it possible to retain institutional knowledge.
